We were delighted to be invited to host a table at the business club session during the SPVS Congress last month. An excellent opportunity to discuss team training, process management and document management.
The business club format was new to us, so it was an exciting learning experience. Most importantly, it gave veterinary practice managers and owners the opportunity to bring their questions about team training, processes and document management directly to us.
To kick off discussions, we had prepared several topics and cue cards to prompt conversations. However, during each time slot, several delegates approached us with specific, real-life issues which were affecting their businesses.
Three key pain points emerged from these conversations:

1. Inconsistently Team Training
Many practices shared concerns about ensuring all team members are fully trained for their roles. Most had basic tick lists for initial training but time constraints and lack of real-life examples meant they struggled with ensuring more in-depth, ongoing training was completed. Missing skills and processes only became apparent months later.
We discussed how training goes beyond initial onboarding—building skills and competencies over time and having a reliable method to track progress is essential. Training-Progress provides team members with easy access to training resources and links to relevant SOPs so they can continue learning and use reference materials as their confidence grows.
2. Ensuring Communication of Changing Processes can be a Nightmare
Several delegates were worried about keeping their teams informed about changes to processes. Managers complained of how much time they were spending using existing systems, such as notices with tick boxes or emailing updated SOPs. Even then, they find that many of their employees where ignoring or missing the communications completely.
We shared how Training-Progress helps manage process updates by requiring team members to sign off on changes. Managers can easily track who has acknowledged updates and send reminders to those who haven’t, so that everyone stays informed and compliant.
3. Practice Document Management in Chaos
Accessing and updating documents was another common pain point. Many practices faced issues with duplicate documents stored in multiple locations and poor access controls. This meant they struggled to locate the correct documents when necessary and written protocols could diverge.
We explained how Training-Progress provides a single source of truth. Team members can easily find and view documents without the ability to alter them unless they have specific access privileges. Critical documents are time-stamped, archived, and version-controlled to ISO9001 standards, making document management seamless and secure.

Providing help for Veterinary Practice Managers regarding team training and document management
Overall, we were delighted to help so many practices realise that they can take control of their documents, processes, and training. With the right systems in place, they can ensure the right people have access to the right information at the right time. Using a process and training management platform ensures consistent onboarding, ongoing training, and improved outcomes—resulting in a more effective team and better staff retention.
